Paper, Ink, & Passports Travel provides concierge level travel services for our clients. We believe in going to the end of the road in order to experience the unknown. We take pride in making all our clients’ trips memorable and special and are excited to be your partner in this journey.
ITINERARY AND CHECK-IN
Check your Itinerary: As soon as you receive your booked itinerary, please check it thoroughly to make sure all booking details are correct as to name spelling, members of your travel party, dates, times, fares, and rates and notify us immediately of any corrections required.
Flight Check-in: Read all instructions carefully. Sign up for the airline app in your itinerary, so you are aware of schedule and gate changes. Give yourself extra time. Arrive 3 hours early for international flights and 2 hours early for domestic.
Reconfirmation: Schedule changes are quite common. Re-check exact flight times prior to departure and prior to your return.
TSA GOVERNMENT ISSUED ID CARD AND REAL ID:
Beginning in May 2025, every air traveler 18 years of age and older must present a REAL ID-compliant driver’s license, state-issued enhanced driver’s license, or another acceptable form of ID to fly within the United States. If traveler is not sure whether his/her/their ID complies with REAL ID, check with traveler’s state’s Department of Motor Vehicles.
RISK ASSESSMENT AND TRAVELER REGISTRATION:
Travellers understand that travel to certain destinations may involve greater risk than others. Largay Travel and its affiliates urges travellers to remain informed on a daily basis as to current news, as well as to review travel prohibitions, warnings, announcements and advisories issued by the United States Government prior to booking travel to international destinations. Information on conditions in various countries and the level of risk associated with travel to particular international destinations can be found at http://www.state.gov, https://www.tsa.gov, http://www.dot.gov, http://www.faa.gov, http://www.cdc.gov, and http://www.cbp.gov.
The Smart Traveler Enrollment Program (STEP) is a free service provided by the U.S. Government to U.S. citizens who are traveling to, or living in, a foreign country. STEP allows travelers to enter information about my upcoming trip abroad so that the Department of State can better assist me in an emergency. Registration is recommended and provided by going to https://step.state.gov/step/.

SPECIAL REQUESTS AND FOOD ALLERGIES:
Please note special meal requests and food allergies on your registration and client information forms. Largay Travel and its affiliates cannot be responsible if special requests are not met but we will pass them on to the airlines, hotels and restaurants. If you have dietary restrictions or food allergies, be sure to carry your medications with you at all times. You should carry a list of food allergies written in the language of the country in which you are dining to present to the food service staff. Discuss your special needs with your travel and tour personnel and ask the wait staff about the foods you are served.
MOBILITY CONCERNS:
Sightseeing on tours almost always includes walking. Visits to historical places often mean climbing stairs and walking on uneven surfaces or cobblestones. The Americans with Disabilities Act (“ADA”) is only applicable within the United States, and facilities for disabled individuals are limited outside its borders. A qualified and physically able companion must accompany travellers who need such assistance. Motorized scooters are unsuitable for many trips. Transportation services, including many tour motor coaches, are not equipped with wheelchair ramps. Handicap accessibility is not always available. Tour personnel are not able to provide attendant services. Consult your physician if you have any concerns about your ability to participate.

These terms and conditions apply to your relationship with Paper, Ink, & Passports Travel (“we,” “us,” “our”). Our ground operators often have terms and conditions that will be provided upon receipt of any itineraries or engagement with them. It is the client’s (“you,” “your,”) responsibility to read and understand all terms and conditions. By giving us your credit card, you agree to the following.
AGENCY:
Paper, Ink, & Passports Travel is an independent affiliate of Largay Travel, CST# 2109263-80, and a proud member of Virtuoso®. As a travel consulting and concierge service, we liaise with suppliers (in-country ground operators, hotels, cruise lines, multi-line reps, hotel booking agents, tour operators) to provide our clients with the best service possible. As such, while the client works directly with us, any deposits or final payments are rendered to the supplier unless alternate arrangements have been made in advance. Paper, Ink, & Passports Travel does not operate, control, or otherwise provide the services of the independent travel vendors. Hence, the client agrees that Paper, Ink, & Passports Travel acts only as agent for the client in acquiring transportation, hotel accommodations, sightseeing and other privileges, or services for the clients’ benefit, and on the express condition that Paper, Ink, & Passports Travel shall not be responsible for any loss, accident, injury, delay, defect, omission or irregularity which may occur or be occasioned, whether by reason of any act, negligence or default of any company or person engaged in or responsible for carrying out any of the arrangements, or otherwise in connection therewith.
SERVICE FEES:
Paper, Ink, & Passports offers concierge level travel curating services. As such, we charge a customised professional, non-refundable planning fee per trip. Typically, we discuss this fee in our initial complimentary consultation call; any changes in parameters will necessitate an additional fee. This fee is collected prior to working on your itinerary and is not part of the cost of your reservations. The fee is per trip and is not transferrable to future travel plans.
DELIVERY OF TRAVEL DOCUMENTS:
We provide all of travel documents via email and mobile app. Should you want your documents sent to you, you will be charged shipping fees. All travel documents (cruise, tour, hotel, etc) will be packaged and shipped to you via USPS Priority or FedEx. Please advise us if you wish someone to sign for the documents when they arrive, otherwise they will ship with no signature required. Please check all documents when you receive them and call us if you have any questions.
COMMUNICATIONS:
Paper, Ink, & Passports Travel communicates via email as we can deliver the highest quality service with this method of communication. Please do not text for quotes as texts, Facebook messages, and Instagram messages can very quickly get lost. Unscheduled phone calls, if unable to be answered, will be returned at the earliest convenience.
PRICES AND CURRENCY FLUCTUATIONS:
Prices are quoted in the home currency of the ground operator, tour operator, airline, cruise line, or hotel and all prices are current at time of quotation. We endeavour to provide an estimated US equivalent, however currency fluctuations occur and we are not responsible for any increase in price due to these.
All prices are subject to change until booked or ticketed. This includes, but is not limited to, airfare, hotels, cruises, tours, and transportation. Availability is also subject to change until booked or ticketed. Paper, Ink, & Passports Travel is not responsible for price changes on behalf of the airline, hotel, cruise line, tour company, or car company, nor are we responsible for lack of availability when we have given a proposal and the client has not given us an answer in a timely manner.
We have no special knowledge of suppliers’ financial condition and no liability for supplier defaults or for recommending future travel credits with suppliers that may be out of business by the time the client tries to use the credits.
If requested, we will assist with obtaining any refunds due or rebooking trips using future credits, but we will charge a nonrefundable fee for such services.
GROUND OPERATOR PRICE BREAKDOWNS:
When we provide clients with a full packaged itinerary that includes a variety of services including but no limited to hotels, tours, and transfers, from a ground operator (also called a “DMC” or “onsite”) we do not provide breakdowns of the services provided. Our ground operators have contracted rates with many of their own suppliers and as such we do not publicise this confidential information.
CREDIT CARDS:
Paper, Ink, & Passports Travel processes all service fees, change fees, cancellation fees, and any other charges incurred, through our host agency, Largay Travel. We accept all major credit cards. Paper, Ink, & Passports Travel does not process supplier payments. Payments for airfare, cruises, tours, hotels, or other travel services are processed by the supplier in question, and will show as the supplier in question on any credit card statement. Paper, Ink, & Passports Travel will inform you at time of booking the type of payment the supplier requires. Some suppliers provide a secure payment link that will be forwarded to you, other times Paper, Ink, & Passports Travel will pay the supplier on your behalf through a web portal. All payments are discussed in writing prior to any charges being made.
AIRFARE AND AIR TICKETING:
Paper, Ink, & Passports Travel uses our home office air team (“the Largay Travel air team”) to quote and book airfare. For this service, we charge a $50 per person service fee for any domestic US airfare and a $80 per person service fee for international airfare. Clients are welcome to purchase their own air and provide us with the details.
TRAVEL INSURANCE:
Travel incurs risk. We encourage our clients to purchase travel insurance. For your convenience, Paper, Ink, & Passports Travel works with several well-respected travel insurance providers, including Travelex Insurance, and we will provide you with a quote for travel insurance at time of deposit. We recommend purchasing a plan with trip cancellation and medical coverage, but some policies do not protect against cancellation due to pandemics or supplier defaults, so the client must read the policy. We recommend “cancel for any reason” coverage, which costs more and may not be available to all clients.
Any and all questions must be directed to the insurance provider. If you are not willing to purchase travel insurance, we require that you sign a waiver acknowledging you have been informed of your options regarding travel insurance and are declining a policy.
FORCE MAJEURE:
There are some circumstances that are beyond our control. Paper, Ink, & Passports is not responsible for costs incurred due to disruptive events beyond our control, including but not limited to weather, terrorism, acts of God, war or threat of war declared or undeclared, sabotage, insurrection, strikes, civil disobedience, floods, fire, wind, sickness, global pandemics, quarantine, defects in machinery or vehicles, delay, wildlife, or other untoward occurrences.
BEHAVIOUR:
If client’s behaviour prevents a travel supplier from rendering contracted services, Largay Travel and its affiliates are not liable for refund of such services.
PASSPORTS, VISAS, and ACCEPTABLE IDs:
All travellers must present proper photo identification such as a passport, Real ID, or other government-issued document. Please visit https://www.tsa.gov/travel/security-screening/identification for more information. It is the traveller’s responsibility to understand what documents are acceptable for travelling.
US passports must be valid for six months past the return date to the United States; some countries require that it is valid for longer. It the responsibility of the client to ensure their passport meets the requirements for entry into a foreign country. Paper, Ink, & Passports Travel is not responsible for fees incurred as a result of being detained or denied entry. Some countries require US citizens to apply for visas in advance of travel. We recommend not purchasing airfare until the visa has been secured, and we are not responsible for any airline tickets or fees incurred as a result of a visa not being approved. Passengers are responsible to ensure that they have all the proper documents for entry.
VISA may be required. Please note that even when a visa is issued, a traveler may be denied entry since each country’s local immigration officials make the final entry decision. Several factors, including a past criminal record, may contribute to the decision of the local immigration official(s). Should a visa not be issued, Largay Travel and its affiliates are not responsible for lost payments made toward the contemplated trip.
Travel to or through Canada, Australia, or New Zealand. If traveling to or through Canada, Australia, or New Zealand, travellers with a Driving While Intoxicated (DWI) or other conviction should always check the current rules that exclude admission, as well as potential waivers to the exclusion. We believe it is an invasion of privacy to make such an inquiry of a client. The final decision of entry rests with the immigration or border services officer.
To ensure that all traveller information is correct, we require that our clients provide us with a copy of the travellers’ passports prior to booking any international airfare. We use passports to book airfare – where names must be spelled as they are on the identification – and to secure cruises, hotels, car rentals, and tours, as many companies require full names for all travellers. We also may need to input the passport issue date or expiration dates. If you insist that you know how your name is spelled on the identification, and refuse to give us a copy of the passport, we will not book your itinerary until we have it. Paper, Ink, & Passports Travel is not responsible for fees incurred as a result of names being misspelled or price changes while waiting for passport information.
It is the traveller’s responsibility to understand what documents are acceptable for international travel. This includes but is not limited to passports, visas, and drivers licenses.
TRAVEL HEALTH AND SAFETY
It is the client’s responsibility to understand the health and safety aspect of travelling. Please consult with your health care provider, health insurance company, and/or doctors if you have questions regarding your health or medical ability to travel.
Paper, Ink, & Passports Travel, Largay Travel, or any staff, have no special knowledge of health hazards such as the risk of contracting Covid-19 or any other virus, either during the client’s travel or at the client’s destination. For the latest travel health information, the client should review the State Department’s website at travel.state.gov and the CDC’s information at www.cdc.gov/travel.
We have no responsibility for Covid-19-related requirements that travel suppliers and governments may impose from time to time, such as health affidavit forms, health screenings prior to departure or upon arrival, face coverings or quarantines. For the latest Covid-19 government travel regulations, the client should review IATA’s website at www.iatatravelcentre.com. For the latest travel supplier requirements, check the supplier’s homepage.
Any vaccines or other health requirements needed in order to travel must be obtained by the client at their own cost. Paper, Ink, & Passports Travel is not liable for any costs incurred due to lack of vaccines or poor health.
